FRONT DESK OFFICER - PART-TIME - BUCHAREST, SECTOR 1

For our client, a leading global pharmaceutical company, we are currently seeking a dynamic and well-organized Part-Time Front Desk Officer (4 hours/day) to join their growing team.

Responsibilities:

  • Greet visitors entering the building, answer questions, provide directions, and notify staff when someone arrives to meet or visit them;
  • Interact with guests in a professional and pleasant manner;
  • Answer all incoming calls and redirect them to the appropriate department or contact;
  • Take messages and ensure they are delivered to the intended recipients;
  • Accept deliveries and mail, organize and distribute them using the office mailing system, and ensure timely delivery; manage outgoing mail and packages for pickup;
  • Schedule meetings, interviews, and appointments;
  • Ensure the effective management of the office reception area;
  • Maintain the reception area in a clean and tidy condition;
  • Monitor and ensure the availability of office and kitchen supplies;
  • Provide support to the management team across a wide range of tasks;
  • Assist with archiving, accommodation arrangements, meeting room bookings, travel arrangements, and protocol-related tasks;
  • Offer ongoing support for various administrative activities.

 

Knowledge and skills:

  • Ideally, a minimum of 6 months’ experience in a similar position;
  • Advanced proficiency in both written and spoken English; native Romanian speaker;
  • Comfortable using the SAP/Ariba system, with a willingness to learn new tools and systems;
  • Excellent knowledge of Microsoft Office and other platforms (e.g., Microsoft Teams);
  • Reliable, loyal, and demonstrating strong business ethics;
  • Excellent presentation and communication skills;
  • Strong ability to plan, prioritize, execute, and follow up in a proactive and timely manner;
  • Flexible and quick to adapt to new situations in a continuously evolving environment.
