ADMINISTRATIVE ASSISTANT - SOFIA, BULGARIA

 

Job Summary:

Ensure high quality support for Bulgaria, Croatia and Slovenia teams on all administrative and operational workflows with the main focus on the support of management team and HR business partners. Be the ambassador of the brand image in full respect of company’s principles.

 

Duties/Responsibilities:

 

To ensure high quality operational and administrative support of HR area through the following for Bulgaria, Slovenia & Croatia:

  • Running HR administration process through managing relations with payroll partners;
  • Ensuring new and changing employee’s data are operated into the relevant systems (i.e. WorkDay) in a timely manner;
  • Providing support of the Line Managers in providing induction for new employees, Onboarding Day 1, preparation of necessary documents/papers, handling agendas, etc;
  • Ensure healthy and safe working environment for all employee;
  • Providing assistance in recruitment process: handling the contracts with recruitment agencies, booking meetings with the candidates, supporting assessment panels (printing materials, booking rooms, etc);
  • Coordinating with service suppliers on the following: meal tickets, medical subscriptions, holidays, gifts, birthdays, etc;
  • Taking ownership of Benefit Plan management under the supervision of HR Business Partner (Life and Medical Insurance, Pension Plan, cars etc);
  • Car fleet Management (maintain relationship with suppliers, order cars, compare offers, support for car users internally);
  • Taking part in the implementation of local and cluster employee’s policies, assisting HR Business Partner in creating and communicating the policies to the employees;
  • Budget holder of internal events and office expenses;
  • Managing office suppliers: printings, paper stationery, fruits, coffee, cleaning services, recycling, building administration, archiving services.

 

To ensure high quality operational and administrative support to Management team through carrying out the following activities only for Bulgaria:

  • Maintaining business calendar management;
  • Organizing business meetings and all associates’ team events including but not limited to agenda management, travel and accommodation arrangements, calendar bookings, location arrangements, minutes taking, etc;
  • Providing assistance in organizing training events in: agenda management, coordination with training providers on arrangements, food delivery management, etc;
  • Performing clerical duties such as typing, editing, printing out papers as required;
  • Providing assistance in preparing and compiling presentations;
  • Supporting business travels for management team members;
  • Organizing the reception of Senior Leadership visitors;
  • Issuing periodical POs for the Vendors in the scope, using Navision.
  • General administrative tasks of the office;
  • Welcoming of guests and visitors;
  • Processing incoming and outgoing post in the scope;
  • Ensuring effective management of office reception area;
  • Being the custodian of quality, safety & wellbeing in the office environment;
  • Being the sustainably Ambassador at the local office (recycling, paper use, etc).
  • Handling the other ad hoc tasks upon request of the leadership team.

 

Required Skills/Abilities:

  • University Degree;
  • Office Administration and payroll processing previous experience will be a great advantage;
  • Experience in multinational company minim 1 year/or internship;
  • Experience in customer-facing role minim 1 years represents a great advantage;
  • High business ethics and respect for confidentiality;
  • Excellent organizational and planning skills;
  • Excellent communication skills;
  • Action oriented and customer focus approach;
  • Native in Bulgarian and advanced in English;
  • Excellent knowledge of Microsoft Teams and Microsoft Office, especially Excel;
  • Willing to travel occasionally.
