OPERATIONS ASSISTANT - GALATI

The role:

  • Monitors the proper functioning of the shopping center from an operational point of view;
  • Maintains communication with tenants and suppliers of the commercial center regarding operational matters;
  • Supervises the resolution of complaints or requests from tenants/suppliers and directly participates in resolving them;
  • Coordinates and supervises cleaning and maintenance activities on the property;
  • Coordinates and supervises security and protection activities on the property;
  • Coordinates and supervises fire prevention and extinguishing, occupational health and safety, and environmental safety activities, ensuring compliance with legal frameworks;
  • Manages utility consumption within the shopping center;
  • Involved in proposing and following the activities to improve the processes related to the operational activities in the center;
  • Prepares and administers tenders for operational services in accordance with company procedures;
  • Ensures contracts for operational services are executed promptly and in accordance with company procedures, including associated documentation;
  • Ensures the preparation of operational programs for the shopping center;
  • Ensures compliance with rules outlined by the regulations of the shopping center;
  • Monitors legislative updates in the field and ensures fulfilment of legal obligations concerning operational aspects on behalf of the shopping center owner;
  • Participates in organizing internal financial control and annual inventory processes;
  • Involvement in coordinating the analysis of internal and external control reports, focusing on quality and environmental standards; takes action to address reported non-conformities and their root causes to prevent recurrence;
  • Ensure that external and internal control bodies have access to the company's documents during inspections and audits;
  • Responsible for the optimal use of the material, financial, patrimonial, and human resources allocated to achieve the shopping center's objectives;
  •         Take responsibility for organizing operational activities within the commercial center, including the provision of the labour force and the optimal scheduling of work, in alignment with proposed objectives;
  •           Ensure compliance with the written and/or verbal contractual commitments of tenants and suppliers with the owner of the shopping center;
  •           Be responsible for certifying all payments related to the operational services provided within the shopping center;
  •           Identify new opportunities and collaborative solutions to reduce maintenance costs from the operational point of view of the shopping center.

 

Knowledge:

  •           Similar experience on a previous role or experience in facility management represents an advantage;
  •           University degree;
  •           Good knowledge and understanding of occupational safety and health;
  •           Good knowledge of Microsoft Office;
  •           Good knowledge of English language (spoken/written);
  •           Good communication skills, multi-tasking, detail-oriented, fast decision maker;
  •           Attention to detail and very good organizing skills;
  •           Time management.
